Product recs to build an SOP vault/video library

EDIT: Asana worked! I set up a new project then divided it by sections for each category of SOP and added each SOP as a task within that section. Super simple!

At an agency I freelance with, I was tasked to build out a centralized SOP vault for everyone to access.

- It's a SUPER lean company, so it'd need to be free. We do have a company email address that (I think?) everyone can have access to (have to verify), so we can all log in with that instead of having to purchase seats for multiple logins. (If it's a freemium product where the paid part is dependent on how many registered users there are.)

- Everyone is recording SOPs through their own personal Loom account or other screen recording software, so it's very much not centralized at the moment, even between software.

- I'm taking those videos and writing SOPs for many of them that are more in depth or those that have logins involved. The solution needs to be able to support Loom links, uploaded videos, and Google Docs.

- Since we're recording extremely sensitive info (like client/company passwords), it needs to be SUUUUPER secure where only company freelancers can access - so nothing public.

- I want to organize each SOP by category. For example: all SEO SOPs (i.e. Ahref's site audits, on-site SEO, keyword research, etc.) all go in one folder while all email marketing SOPs go in a separate folder. This is non-negotiable and something I'm not willing to budge on. It'll get way too chaotic without this organization since there are hundreds of SOPs for every task we do in the company. Subcategories/subfolders are a very happy bonus! 

- The founder and employees are really particular about aesthetics and hell-bent on things looking visually appealing. I just care if it's functional and organized so we get the job done lol. Bonus points if it ~looks pretty.~ Not necessary, as long as it meets other criteria.

- There is a company Loom, but not everyone is allowed to have access to the login. Only the founder and I do. Otherwise, this would be a great option since most of them are already Looms.

- We use Asana for our PM tool, and everyone has access to that. 

So, I asked Gemini what I could do, and it suggested Asana since we already use it. Does anyone know if that's possible to build out what I'm looking for within Asana?

If not, suggestions are welcome! I also considered LMS tools, but not sure if that would work (or be free). Plus we don't need an extra place for community. Just a video library that also allows text/document links.

If literally nothing like this exists, you have full permission to steal this idea and build it because there's no way I could. 🤣 Oh and you'd have my everlasting appreciation, and I'd share it with literally everyone! 

PS I completely bullshitted the topics. I have no idea what this would actually fall under besides "please help a girl out 🏳️" White flag of surrender included :) 



Just use Notion?

Easy to edit and organize, supports links and embeds, decent search, access controls.

I didn't even consider Notion! Good one. I'll use this for my own SOPs.

I found out I can just use Asana and set up a project with sections. It's simpler since everyone already has access and nobody will lose the link.

What does SOP vault even mean 👀 (sorry)

No need to apologize. It's a video library of SOPs to show how to do a task so it's standardized across the company.
